A GST bill in three steps
Most counter sales in India are simple: a customer picks items, you total them, take payment and hand over a bill. GST adds rules to that bill, and PaisaBill handles them in the background so billing stays quick.
- Add items. Search by name or short code, scan the barcode with your phone camera, or tap a favourite. Loose goods take decimal quantities like 0.75 kg.
- Take payment. Cash, UPI, card or a split of these. Cash shows the change due.
- Print or share. Print on a 58mm or 80mm thermal printer, or save an A4 or A5 PDF invoice and share it.
The bill carries your GSTIN, the HSN code and rate per item, the taxable value, CGST and SGST amounts, the total in figures and in words, and a UPI QR code for payment.
How PaisaBill calculates GST
Each product stores its own GST rate and HSN code. When you bill, tax is calculated per line and then grouped by rate in a tax breakup on the bill. For a sale within your state, the tax is split equally: an item at 18% shows 9% CGST and 9% SGST.
Prices can be tax-inclusive, the way most retail MRPs work, or tax-exclusive, where GST is added on top. Set the default for the shop and override it for individual products. With an inclusive price of ₹118 at 18%, PaisaBill records ₹100 taxable value and ₹9 each of CGST and SGST.
Rounding is your choice: round the total to the nearest rupee, to the nearest 50 paise, or not at all. The round-off amount prints as its own line so the bill always adds up.
Bill numbers that follow the financial year
GST rules ask for invoice numbers that are consecutive, unique within a financial year and no longer than 16 characters. PaisaBill lets you build a series that fits: a prefix, a separator (dash, slash or none), 4 to 7 digits, a starting number and a suffix. Add a financial-year tag for numbers like SLP/26-27/0001, and choose to restart numbering every April.
Paid bills are never deleted. Cancelling a bill needs a reason and the right permission, and cancelled bills appear in their own report, so your numbering stays continuous and explainable.
Your registration details on every bill
Enter your GSTIN once during setup. PaisaBill reads your state from the first two digits and prints the GSTIN in the bill header along with your legal name. Restaurants and food shops can add their FSSAI licence number, and companies can add a CIN. Each template lets you show or hide these lines.
Choose from 24 bill templates: 15 thermal receipt designs, 3 kitchen ticket layouts and 6 A4 or A5 invoice styles, including a formal GST Tax Invoice and an Estimate/Quotation. Columns such as HSN, MRP and rate can be switched on or off.
Reports your accountant will ask for
The GST summary report groups sales by tax rate and shows taxable value, CGST and SGST for any date range. Export it as CSV or PDF. Alongside it you get item-wise, category-wise, payment mode, staff-wise and voided bill reports, all exportable as CSV, plus a dashboard that shows tax collected against the previous period.
What PaisaBill does not do
PaisaBill is built for counter billing within your state. It does not file returns, generate e-invoices (IRN) or e-way bills, and it does not yet print IGST for inter-state sales or a buyer's GSTIN on the bill. If you make inter-state B2B sales, prepare those invoices in your accounting software or with your CA, and use PaisaBill for the counter.
